1. Terms & Conditions

1.1 About RRS

RRS is owned and operated by Rehz Technologies Pvt. Ltd., with its registered office in Bengaluru, Karnataka, India. RRS provides race operations software, mobile applications, managed race operations and related services to motorsport event organisers, federations, circuits, racers and spectators in India and worldwide.

1.2 Acceptance of these Terms

By accessing the Services, creating an account, registering for an event, purchasing a ticket, installing or using the Rehz Motorsports mobile application, or signing an order form / engagement letter with us, you agree to be bound by these Terms. If you do not agree, you must not use the Services.

1.3 Use of the platform

• Eligibility. You must be of legal age and capacity to enter into binding contracts under Indian law to use the Services on your own behalf, or be duly authorised to act on behalf of an organisation.
• Account responsibility. You are responsible for maintaining the confidentiality of your credentials and for all activities under your account.
• Prohibited use. You agree not to misuse the Services — including, without limitation, attempting to gain unauthorised access, interfering with system integrity, scraping data without consent, uploading unlawful content, or infringing the rights of others.

1.4 Services scope

RRS may be engaged as: (a) software (platform access and dashboard); (b) managed race operations; (c) custom software builds for federations and circuits; (d) timing-system rental; or (e) any combination of the above. The final scope, deliverables, timelines and commercial terms applicable to a specific engagement shall be set out in a separate written quote, order form or master services agreement signed by both parties, which together with these Terms shall constitute the entire agreement.

1.5 Event organiser responsibilities

• Obtaining all required event sanctions, permits and approvals (including FMSCI sanctioning where applicable).
• Ensuring lawful collection and processing of participant and spectator data on the platform.
• Ensuring venue, safety, medical, insurance and operational compliance as required by the relevant sanctioning body and local authorities.
• Indemnifying Rehz against any third-party claims arising from the conduct of the event itself or from the organiser's use of data on the platform.

1.6 Racer / spectator responsibilities

Racers and spectators using the Services agree to provide accurate registration information, to comply with the event organiser's rules and the applicable sanctioning body's regulations, and acknowledge that motorsport carries inherent risk for which the event organiser — not Rehz — is responsible.

1.7 Intellectual property

The RRS platform, source code, mobile applications, proprietary timing system, dashboards, documentation, branding, logos and all related intellectual property rights are owned by Rehz Technologies Pvt. Ltd. or its licensors. No right or licence is granted to you except the limited, non-exclusive, non-transferable right to use the Services as expressly set out in these Terms and in your applicable engagement letter.

1.8 Confidentiality

Each party agrees to maintain in confidence all non-public information disclosed by the other party in connection with the Services, and to use such information solely for the purpose of performing under the engagement.

1.9 Limitation of liability & disclaimer of warranties

The Services are provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied, to the maximum extent permitted under Indian law. To the fullest extent permitted by law, the aggregate liability of Rehz Technologies Pvt. Ltd. arising out of or in connection with the Services shall not exceed the fees actually paid by you to us in the twelve (12) months immediately preceding the event giving rise to the claim. In no event shall we be liable for indirect, incidental, special, consequential or punitive damages, loss of profits, loss of revenue, loss of data, or loss of goodwill.

1.10 Termination

We may suspend or terminate your access to the Services at any time for breach of these Terms or for non-payment, without prejudice to any other rights or remedies available to us. Termination of an engagement letter shall be governed by the terms of that letter.

1.11 Force majeure

Neither party shall be liable for any failure or delay in performance caused by events beyond its reasonable control, including without limitation acts of God, natural disasters, war, terrorism, civil unrest, pandemic, government action, internet or telecommunications failures, or third-party service outages.

1.12 Changes to these Terms

We may update these Terms from time to time. The updated version will be posted on this page with a revised "Last updated" date. Continued use of the Services after such update constitutes acceptance of the revised Terms.

1.13 Governing law & jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India. All disputes arising out of or in connection with these Terms or the Services shall be subject to the exclusive jurisdiction of the courts at Bengaluru, Karnataka, with the High Court of Karnataka at Bengaluru as the supervisory court.

2. Payments

Indicative pricing models are published at /pricing. All published pricing is indicative and subject to change at our discretion. Final pricing, taxes (including GST where applicable), payment schedule and refund terms applicable to a specific engagement will be confirmed in writing before the engagement begins.

We use Razorpay and Cashfree as our payment gateway providers for the RRS platform and the Rehz Motorsports mobile applications. We do not store full card numbers, CVV codes or banking credentials on our servers; payment data is encrypted in transit and processed in line with the Payment Card Industry Data Security Standard (PCI-DSS) by the payment gateway. 3. Refund & Cancellation Policy

RRS provides a platform on which event organisers and vendors list and sell motorsport events, tickets and services. Refund eligibility depends on the type of purchase:

• Spectator / event tickets. Refund requests must be raised at least 3 days before the start date of the event by emailing us or by raising a support ticket via the in-app chat. Requests received after this window, during the event, or after the event has concluded will not be processed.
• Participant / racer registrations. Refund requests must be raised in writing (email or in-app support ticket) and will be reviewed on a case-by-case basis depending on the reason. Requests received after the event has begun or concluded will not be processed.
• Organiser-side cancellations. If an event is cancelled by the organiser/vendor, the full or appropriate amount will be refunded to the purchaser.
• Refund timeline. Once a refund is approved, the amount will be returned to the original source account within T+10 working days, where T is the time at which the refund was approved. Actual credit times depend on your bank or card issuer.

4. Privacy Policy

For the purpose of the Indian Digital Personal Data Protection Act, 2023 ("DPDP Act"), Rehz acts as a Data Fiduciary in respect of personal data collected through the Services, and as a Data Processor in respect of personal data processed on behalf of event organisers using RRS.

4.1 Scope

This Privacy Policy applies to: (a) the rehzracingsoftware.com website; (b) the RRS organiser platform and dashboards; (c) the Rehz Motorsports mobile applications on iOS and Android; and (d) any related services we provide.

4.2 Information we collect

• Account & profile information — name, email, phone, organisation, role.
• Event registration data — racer details, vehicle and class details, FMSCI licence details where applicable, indemnity acceptance.
• Payment information — processed via third-party payment gateways (Razorpay, Cashfree); we do not store full card numbers on our servers.
• Device & usage data — IP address, browser/device type, pages visited, timestamps.
• Cookies & analytics — first-party and third-party cookies and similar technologies used to operate the website, remember preferences, measure usage and improve the Services.
• Communications — messages and queries you send us via email, WhatsApp or contact forms.

4.3 How we use information

• To operate event registrations, scrutineering, paddock, parc fermé, ticketing, timing, championship points and on-ground POS.
• To process payments and issue invoices and receipts.
• To communicate event updates, race-day briefings and customer-support responses.
• To analyse and improve the Services.
• To comply with legal and regulatory obligations, including reporting to sanctioning bodies such as the FMSCI where applicable.

4.4 Sharing of information

We share personal data only as necessary, with:

• Event organisers — for events you have registered for or purchased tickets to.
• Payment gateways & processors — to facilitate payment, refunds and reconciliation.
• Sanctioning bodies (e.g. FMSCI) — where required for sanctioned championship reporting and licence validation.
• Hosting, infrastructure and analytics sub-processors — bound by confidentiality and data-protection terms.
• Law-enforcement and regulatory authorities — when required by law.

We do not sell personal data.

4.5 Data retention

We retain personal data only for as long as necessary to provide the Services, comply with our legal, accounting and reporting obligations (including sanctioning-body record-keeping), and resolve disputes. Retention periods vary by data type and applicable law.

4.6 Your rights

In accordance with the Indian DPDP Act and other applicable laws, you have the right to:

• Access the personal data we hold about you.
• Correct or update inaccurate or incomplete data.
• Request erasure of your personal data, subject to our legal retention obligations.
• Withdraw consent where processing is based on consent.
• Lodge a grievance with our Grievance Officer (see Section 5 below).

4.7 Security

We implement reasonable technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or destruction, including encryption in transit, access controls and audit logging. No system can be guaranteed 100% secure.

4.8 Children

The Services are not directed at children below the age of 18. Where event registrations involve minors (e.g. junior karting), the parent or legal guardian is responsible for providing consent and supplying the minor's information.

4.9 International transfers

We are based in India and primarily process data within India. Where data is transferred outside India (for example, to international hosting or analytics providers), we take reasonable steps to ensure appropriate safeguards are in place.

4.10 Updates to this Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date. Please review this Policy periodically.
